If your insurance is out of our network; don’t worry.
We have a dedicated biller who can submit your claim to your insurance for direct reimbursement .
Expect insurance to respond and/or reimburse you in 2-4 weeks:
- 60 minutes visit about 50-60% of $500 charge reimbursed.
- 30 minutes visit about 70-95% of $250 charge reimbursed.

Please be on time for your initial appointment. Our medical assistants will need to process your paperwork and take vital signs. If you have past medical or mental health records, including copies of previous laboratory results or other test results, please bring them to the first visit. Bring a list of medications you are using now and have in the past or just bring the prescription bottles. It is also important to have contact information for your mental health providers and other physicians so that we can obtain collateral information, if needed.
Using medications to provide drug withdrawal relief and relapse need to be monitored closely. You will be given enough medication to last to your next appointment. If you need refills on your medication, please arrange an appointment before you run out. Our medical assistants are available to advise and provide the earliest appointment possible.
Our phone system will allow you to access each clinic. We will do our best to return your calls as soon as possible. Physicians are available only for urgent calls. Most concerns can be handled by the licensed medical assistant MA at each clinic. Our MA’s are in constant contact with our providers and can forward your messages if need arises.
Once your care plan is developed it might be important to take a leave of absence or disability time from work or school. Bring up your concerns with our doctors and bring these forms for your doctor to complete during your office visit. We do not submit disability requests online.
Cancellation and no show policies
Payments are due at the time of each visit. This is important because a time slot is reserved for each appointment. Cancellations should always be made at least 48 business hours (or 2 business days) prior to an appointment time. Business hours are considered weekdays and exclude holidays. Cancellations made less than 48 business hours ahead of time and no shows are charged the full session fee.
Mental health records
Treatment records are kept in accordance with legal and professional standards. At Calming Goat we use electronic records that sends email reminders and allows you to register through a patient centered portal. This system is HIPPA compliant and user friendly. If medical records need to be sent on your behalf, please complete a consent for release of information. This important form maintains your confidentiality. You will be in charge of who receives your medical information. We will always keep your records private. Charges may apply for medical record requests.
We will always strive to ensure your information is kept confidential and compliant with HIPPA regulations. That means generally information is released with written permission.
There are exceptions:
- Insurance companies are 3rd party HIPAA covered entities but will need information if you are seeking reimbursement.
- 3rd party HIPPA compliant Electronic Health Records. We use Practice Fusion.
- Laws that require health providers to take rare action for safety or threat of harm, protective actions, reporting abuse, court ordered subpoenas or medical emergencies.
Electronic mail policy
Email is not a confidential means of communication. If you need to communicate with our office for routine matters it is best to call. If you have other concerns, each office has a license medical assistant (MA) to help you. This policy is in keeping with HIPAA laws and your confidentiality. Our electronic medical records and payment software will send email appointment reminders and receipts and will not include any sensitive medical data.
